About Quillvex
Steady Support for a Considered Transition
We started Quillvex to fill a quiet gap — the practical, organisational side of approaching retirement that often goes unaddressed.
← Back to HomeOur Story
§Quillvex was founded in Kuala Lumpur in 2018 by a small group of professionals who had spent years in administrative and records-management roles across Malaysian public service and corporate settings. What they kept noticing, when speaking with family members and colleagues nearing retirement, was the same thing — a drawer full of unsorted pension statements, letters from schemes that had changed names, beneficiary forms that nobody could locate, and a vague anxiety about whether everything was in order.
The solution they kept offering, informally, was simple: sit down together and sort it out. Not advise on it. Not evaluate the figures. Just organise the papers, create a clear record, and leave the person with a folder that made sense. People found that genuinely useful — and so Quillvex came into being as a structured, professional version of that same help.
Over the years we have expanded to include a workshop series for people who want to think through the broader, day-to-day shape of retirement — not just the documents — and a family coordination arrangement for those who want their adult children and spouse in the same room with a calm structure around the conversation.
We remain a small team, working from our office on Jalan Yap Kwan Seng in Kuala Lumpur. We do not offer financial advice, legal opinion, or investment commentary. We are here for the organisational and educational side of the transition — and we do that carefully, quietly, and well.
Our Mission
To help people approaching retirement put their practical affairs in order — with clarity, composure, and without rush — so that the transition into this next chapter rests on a tidy foundation.
Our Values
- Patience. Retirement paperwork is not straightforward. We take the time needed and do not rush sessions.
- Honesty. We are clear about what we do and do not do. Organisational help only — no more, no less.
- Discretion. Personal documents are handled with care and returned without copies kept.
- Calm. Our sessions are quiet, structured, and free from the pressure that sometimes accompanies retirement planning conversations elsewhere.

Our Standards
◈The way we work is grounded in a few commitments that we apply to every session, every conversation, and every piece of paperwork that passes through our hands.
Document Confidentiality
We do not photocopy, scan, or retain any personal pension documents. What you bring to a session stays with you when you leave.
Clear Scope of Work
Every engagement begins with a written confirmation of what we will and will not do. There is no ambiguity about the organisational nature of our work.
Small-Group Sizing
Workshops never exceed twelve participants. This is a firm limit, not a target, to ensure that each person in the room receives proper attention.
Written Deliverables
Every session produces a written record for the client — a folder summary, a family note, or a session outline — so the work has a durable, useful output.
Pre-Session Preparation
For family sessions, we conduct individual pre-meeting interviews with each participant. For document sessions, we send a preparation checklist in advance so time is used well.
Data Privacy Compliance
We handle personal data in accordance with Malaysia's Personal Data Protection Act 2010. Contact details are used only to manage your booking and are not shared with third parties.
Pension Organisation Support in Kuala Lumpur
For many Malaysians in their late fifties, the administrative side of retirement accumulates quietly — statements from the Employees Provident Fund, correspondence from former employers' pension schemes, nomination of beneficiary forms completed years ago and since misplaced, and handwritten notes about accounts whose details no one can now recall. The folder, wherever it is, has become a source of low-grade unease.
Quillvex exists to address that directly. Our pension document organising sessions are designed for people who want to go through their paperwork with a calm, organised professional — someone who will help sort, label, and structure what they have, produce a clear summary of where everything lives, and leave them with a folder that makes sense without any commentary on the contents beyond the organisational.
Our retirement readiness workshops address the broader picture — not documents alone, but the day-to-day shape of retired life. How people keep records going forward. How households adapt. How to put together a note for family members about one's wishes and arrangements. These are questions that often go unaddressed in conventional retirement planning conversations, and we think they deserve quiet, structured attention.
Our family conversation coordination service brings structure to a conversation that many families know they need to have but find difficult to begin. With individual preparation, a facilitated session, and a written summary, it gives the retirement transition a shared foundation rather than a set of separate assumptions.
All of Quillvex's work is conducted in person at our Jalan Yap Kwan Seng office in Kuala Lumpur's city centre, in a quiet and professional environment suited to this kind of thoughtful, unhurried work.
